2. The personal data we collect
When you enquire through our website form: your name, email address, phone number, town or postcode, the machine you are interested in, when you hope to start, anything else you choose to tell us, and a record that you agreed to us contacting you.
When you contact us by WhatsApp, phone, email or Instagram: your name, contact details, profile name and the content of your messages and calls.
When you buy from us: your name, job title, business name and address, delivery address, billing details, order history, and correspondence about your purchase, delivery, warranty and servicing.
When you apply for finance: the details needed to introduce you to a finance provider, such as your name, address, date of birth, business details and income information. The finance provider will tell you separately how it uses your data, including for credit checks.
When you or your team train with us: names of trainees, contact details, attendance, assessment results and the certificates we issue, including Level 3 Anatomy & Physiology and CPD records.
When you use our website: your IP address, browser and device type, pages visited and how you arrived, collected through cookies and similar technologies. See our Cookie Policy for details.
We do not ask for special category data such as health information. Please do not include it in your enquiry or messages.
3. How we use your data and our lawful basis
| Purpose | Data used | Lawful basis |

| Reply to your enquiry with pricing, answers and next steps | Enquiry and contact data | Steps at your request before entering a contract; legitimate interests in answering business enquiries |
| Supply, deliver and support your machine | Customer and order data | Performance of a contract |
| Provide training and issue certificates | Trainee data | Performance of a contract |
| Introduce you to a finance provider | Finance application data | Steps at your request before entering a contract |
| Keep accounts and meet tax, product safety and other legal duties | Customer, order and payment records | Legal obligation |
| Run, secure and improve our website | Technical and cookie data | Legitimate interests; consent where PECR requires it |
| Send news and offers about our machines and training | Contact data | Consent, or for existing customers our legitimate interests (the “soft opt-in”) |
| Handle complaints and legal claims | Any relevant data | Legitimate interests in protecting our business |
Where we rely on legitimate interests, we have weighed them against your rights. You can ask us for details of that assessment.
4. Marketing
We will only send you marketing by email, text or WhatsApp if you have agreed to it, or if you are an existing customer and we are telling you about similar products or training. Every message includes a simple way to opt out, and you can unsubscribe at any time by emailing info@so-sculpt.co.uk. Ticking the consent box on our enquiry form allows us to contact you about your enquiry only; it does not sign you up for marketing.
5. Who we share your data with
We never sell your personal data. We share it only where needed with:
- our website host, form and email providers, and IT support;
- Meta Platforms, when you contact us through WhatsApp or Instagram;
- finance providers or brokers you ask us to introduce you to;
- couriers and installers who deliver your machine;
- the machine manufacturer or distributor, where needed for warranty or servicing;
- training accreditation bodies that issue or verify your certificates;
- our accountants, insurers and professional advisers; and
- police, regulators or courts, where the law requires.
These organisations may only use your data to provide their service to us or as the law allows.
6. International transfers
Some of our providers, such as Meta and Google, may process data outside the UK. Where they do, we make sure your data is protected by a UK adequacy decision, the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.
7. How long we keep your data
| Data | How long we keep it |
|---|---|
| Enquiries that do not lead to a purchase | 12 months from our last contact with you |
| Customer, order and payment records | 6 years after the end of the tax year in which the contract ended |
| Training and certificate records | 6 years after training, so certificates can be verified |
| Marketing preferences | Until you unsubscribe; we then keep a suppression record so we do not contact you again |
| Website and cookie data | As set out in our Cookie Policy |
8. How we protect your data
We use appropriate technical and organisational measures to keep your data secure, including encrypted connections (HTTPS) on our website, access controls and password-protected systems. Only people who need your data for their work can access it.
9. Your rights
You have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to us using your data based on legitimate interests, and to any direct marketing at any time;
- receive data you gave us in a portable format; and
- withdraw your consent at any time, without affecting anything we did before.
To use any of these rights, email info@so-sculpt.co.uk. There is usually no fee. We will reply within one month, or tell you if we need longer for a complex request. We may ask you to confirm your identity first.
10. Complaints
If you are unhappy with how we have handled your data, please tell us first at info@so-sculpt.co.uk. We will acknowledge your complaint within 30 days and tell you the outcome without undue delay.
